Google sign-in and Google Calendar
Effective November 5, 2026.
Winery Academy’s back office lets our staff and instructors sign in with their Google account and, if they choose, connect their Google Calendar so that students and clients can book time with them. Students and members do not need a Google account, and we never ask them for access to one. This section explains exactly which Google user data these features use and why. Where it differs from the general policy below, this section governs Google user data.
What we access
Sign in with Google. We ask Google only for your basic profile (the openid, email and profile permissions). Google tells us your Google account ID, your email address, whether that address is verified, and your name and profile photo. We keep only your Google account ID and email address, so we can recognize you the next time you sign in. Google sign-in works only for an existing staff account with the same verified email address; it never creates an account.
Google Calendar (optional). If you connect your calendar from your account page, we ask Google for permission to see your calendars (calendar.readonly) and to manage events (calendar.events). With that permission we:
- read the list of your calendars (each calendar’s name, ID, and whether you can edit it), so you can choose which calendars count as busy and which one receives new bookings;
- check free/busy on the calendars you choose: the start and end of busy periods only, never the title, description, location or guests of your events;
- create an event on the calendar you choose when someone books an appointment with you through Winery Academy, holding the appointment’s title and time, the guest’s name and email address, any notes the guest gave, and the location or Google Meet link;
- update or delete those same events when the appointment is rescheduled or cancelled, and add “Attended” or “No-show” to their title when you record the outcome;
- add a private “lead notes” event next to each booking, visible only to you, with the guest’s contact details and the answers they gave when booking.
We open individual events only when Winery Academy created them. We do not read, copy or store your other events.
How we use it
Only to provide the features above: signing you in, showing your real availability on booking pages so you are not double-booked, and keeping your appointments on your calendar. We do not use Google user data for advertising, we do not sell it, and we do not use it to decide anyone’s credit-worthiness or for lending.
Artificial intelligence
We do not use Google user data to develop, improve or train generalized or non-personalized artificial intelligence or machine learning models, and we do not send Google user data to any AI service.
How we store and protect it
- The access and refresh tokens Google issues are encrypted (AES-256-GCM) in our database and decrypted only on our server, at the moment it calls Google for you.
- Your calendar choices, and the IDs of the events we created, are stored with your account.
- Free/busy results are kept in our server’s memory for at most one minute, to speed up booking pages, and are never written to our database.
- All data travels over encrypted connections (HTTPS). A person’s Google connection is only ever used for that person’s own calendar.
Who can see it, and sharing
- Winery Academy administrators can see which Google account each staff member connected and whether the connection is working. They cannot see your calendar or connect one for you.
- When an appointment is booked, the guest is added to that appointment’s calendar event and may receive Google’s invitation for it.
- Our hosting provider stores our database and runs our servers on our behalf.
- We may disclose information when the law requires it.
We do not transfer Google user data to anyone else, and we never sell it. Our people do not read your Google user data unless you ask us to help with a problem, it is needed to investigate abuse or keep the service secure, or the law requires it.
Keeping it and deleting it
- Disconnect your calendar at any time from your account page. We revoke our access at Google straight away and delete the stored tokens and your calendar list. We keep a record of which Google account was connected and when, marked closed, and the IDs of the events we created stay on their bookings, until you ask us to delete them. Events already on your calendar stay there; they are yours to keep or delete.
- Remove Google sign-in from your account page once you have set a password; we delete the stored Google account ID and email address.
- You can also remove Winery Academy’s access at any time from your Google Account, at myaccount.google.com/permissions.
- To have all of your Google user data deleted, email support@wineryacademy.com from the address on your account. We will delete it within 30 days.
Limited Use
Winery Academy’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Changes to this section
If we change how we use Google user data, we will update this page first and tell the people who have connected a Google account before the change applies to their data.
